Verification Standards for Exclusive Representation

How verification works

Verification is a two-step process, and it works the same way regardless of who starts it.

Step 1 — Claim. The party initiating the claim completes the appropriate Representation Claim Form, asserting that an exclusive representation relationship exists.

Step 2 — Proof. The claim must then be supported by one of the following:

• Redacted agreement. Upload a copy of the signed Exclusive Representation Agreement. Financial and confidential terms may be redacted; the parties, term dates, and Scope of Exclusivity must remain legible.
• Counterparty confirmation. Provide contact information for the other party. SpeakerSearch independently verifies that the contact is genuine, then sends that party a Confirmation Form to confirm or deny the relationship.

A claim is not verified until both steps are complete.

Two entry points

The same two-step process applies whether the claim is started by an agency or by a speaker. In an agency-initiated claim, the agency claims it represents the speaker, and any counterparty confirmation is routed to the speaker. In a speaker-initiated claim, the speaker names the agency that represents them, and any counterparty confirmation is routed to the agency. The redacted-agreement upload is identical for both — either party may satisfy proof by uploading the agreement instead of routing a confirmation.

Independent contact verification

When a claim is supported by counterparty confirmation, SpeakerSearch independently verifies the counterparty's contact information before sending any Confirmation Form. We do not rely solely on contact details supplied by the initiating party. This gate applies to both entry points.

Conflicting claims

A speaker is the final authority on who represents them. At any time, and regardless of any claim or agreement on file, a speaker may contact SpeakerSearch to confirm or deny an existing claim, request that no agency be listed, designate a different exclusive agency, or correct factual content on their profile.

Where a speaker-provided instruction conflicts with an agency claim — including a previously verified one — the speaker's confirmed instruction controls. SpeakerSearch verifies that any such request genuinely originates from the speaker before acting on it. Speaker requests are processed within ten (10) business days.

When two or more parties submit conflicting claims for the same speaker — or when a new claim challenges an existing verified one — the Listing Agent field reverts to unclaimed for the duration of the review. SpeakerSearch contacts the speaker directly for written clarification, and the speaker's confirmation controls the outcome. If the speaker cannot be reached after two documented attempts over 30 days, the profile remains unclaimed.

Review process and timelines

• Submissions are reviewed within 10 business days.
• Once approved, the agency is listed as the Listing Agent on the speaker's profile.
• Speaker requests (confirm, deny, remove, redesignate, correct) are processed within 10 business days.
• Verified claims are periodically re-verified; agencies must respond to re-verification requests within 30 days.
• Agencies with more than 10 speakers to submit should contact [email protected] for batch instructions rather than filing individually.

What a verified claim allows

An approved claim allows the agency to:

• Appear as the Listing Agent on the speaker's profile.
• Submit edits to descriptive profile content — biography, topics, headshot, video, books, languages, availability — subject to editorial review before publication.

Verified claims do not grant access to edit fee data, scored metrics, reviews, disclaimers, or platform-level copy. Agencies may submit fee information for consideration; submissions are logged and evaluated but are not published as provided.

Standards for verified agencies

• Submit accurate, current information.
• Notify SpeakerSearch promptly when a representation relationship ends or changes.
• Respond to re-verification requests within 30 days.
• Do not use SpeakerSearch data or contacts to solicit speakers represented by other agencies.

Repeated violations, falsified submissions, or claims for non-clients may result in revocation of all of the agency's verified claims on the platform.

Editorial discretion

SpeakerSearch maintains editorial control over the content of speaker profiles. Verified status reflects the evidence on file at the time of review and may be updated as new information becomes available.
